Service & Policy: Cancellation and Refund Policy

 

Cancelling your ASHA Convention registration does not automatically cancel your hotel reservation, and cancelling your hotel reservation does not automatically cancel your registration. If you need to cancel, be sure to follow the cancellation process for both registration and hotel reservations individually.

Registration Cancellation Policy

We understand that plans can change. If you need to cancel your registration, please review the information below.

All cancellation requests must be submitted in writing to our registration provider, Maritz, at asha@maritz.com. Phone cancellations will not be accepted. Please allow two full business days for a response. Badge sharing or splitting is strictly prohibited.

Refund Processing

Refunds are issued back to the original form of payment:

  • Credit Card Payments: Refunds are typically processed within 5 business days.
  • Check Payments: Refunds are issued by check and may take up to 30 days after the convention to process.
Cancellation Processing Fees

A non-waivable processing fee applies to all cancellations.

  • In-Person Registration: $75
  • Virtual Program-Only Registration: $35

Non-Refundable Items

The following items are non-refundable:

  • Donations (e.g. ASHFoundation, ASHA-PAC, or Student Contributions)
  • ASHFoundation event tickets
  • ASHA-PAC event contributions

Final Refund Request Deadline

Refund requests must be received by December 4, 2026. Requests received after this date cannot be processed.

Hotel Cancellations and Reservation Changes 

Hotel policies are separate from ASHA’s registration cancellation policies. 

Each ASHA partner hotel manages its own cancellation rules, fees, and flexibility options. ASHA does not control hotel policies and cannot waive hotel penalties, as these are determined solely by each property. 

  1. Contact your hotel directly for reservation changes.
    If your travel is impacted, notify your hotel as soon as possible. Hotels have limited ability to assist once a guest becomes a no-show. Their staff can provide the most accurate guidance on fees, timelines, and options based on their property-specific policies. 
  1. Identify yourself as part of the ASHA Convention room block.
    Mentioning this helps hotel staff locate your reservation and may enable additional flexibility on a case-by-case basis. 
  1. Hotels may reduce or waive penalties at their discretion.
    While ASHA cannot intervene, our partner hotels understand that attendees may face unpredictable travel challenges and have indicated willingness to assist when notified promptly. 

Hotel cancellations should be made no later than 72 hours prior to your arrival date. Cancellation within 3 days, or failure to check in on your scheduled day of arrival will result in a one-night's room and tax penalty charged by the hotel to the credit card used for guarantee.
