Cancelling your ASHA Convention registration does not automatically cancel your hotel reservation, and cancelling your hotel reservation does not automatically cancel your registration. If you need to cancel, be sure to follow the cancellation process for both registration and hotel reservations individually.

Travel and Cancellation Guidance

As of November 13, 2025

We know many attendees are following the recent FAA-related flight reduction measures and may be concerned about how these changes could impact their travel to the ASHA Convention in Washington, D.C. Since the situation is still evolving, we want to provide guidance, resources, and clarity regarding our policies.

The Convention is one week away, and it is not yet clear how—if at all—flight delays or reductions may affect travel to the D.C. area. Some current disruptions may be resolved in the coming days, and impacts may vary widely by airline, route, and individual traveler.

At this time, ASHA is following the registration cancellation policy as published below and it remains the official guideline for all attendees. Requests for exceptions due to documented extenuating circumstances will be reviewed individually, but approval is not guaranteed. 

Registration Cancellation Policy

If you determine that you need to cancel your in-person registration or change to virtual-only registration, please submit your request in writing directly to our registration provider at asha@maritz.com. All cancellation requests must be submitted in writing; phone cancellations will not be accepted. Please allow at least one full business day for response. Badge sharing and splitting are strictly prohibited.

A non-waivable processing fee applies to all cancellations. Refunds will be issued via the original payment method. Credit card refunds are typically processed within 72 hours, while check payments will be refunded by check, which may take up to 30 days after the Convention.

In-Person Registration

Refunds will be issued minus a $75 processing fee. There is NO FEE to switch from in-person reigstration to virtual-only registration, however, your refund for the difference will be issued after the ASHA Convention, as outlined below.

  • Before October 15: Cancellations received before October 15 will be refunded before the Convention.
  • After October 15: Cancellations received after October 15 will be refunded after the Convention. ASHA Eats cards and special event tickets are nonrefundable after October 15.
Virtual-Only Registration

Refunds will be issued minus a $35 processing fee.

  • Before October 15: Cancellations received before October 15 will be refunded before the Convention.
  • After October 15: Cancellations received after October 15 will be refunded after the Convention.
Nonrefundable Items

The following items are nonrefundable:

  • Donations (ASHFoundation, ASHA PAC, or Student contributions)
  • ASHFoundation Event Ticket & ASHA-PAC Event Contribution
Final Refund Request Deadline

Refund requests will not be accepted after December 5, 2025.

Hotel Cancellations and Reservation Changes 

Hotel policies are separate from ASHA’s registration cancellation policies. 

Each ASHA partner hotel manages its own cancellation rules, fees, and flexibility options. ASHA does not control hotel policies and cannot waive hotel penalties, as these are determined solely by each property. 

  1. Contact your hotel directly for reservation changes.
    If your travel is impacted, notify your hotel as soon as possible. Hotels have limited ability to assist once a guest becomes a no-show. Their staff can provide the most accurate guidance on fees, timelines, and options based on their property-specific policies. 
  1. Identify yourself as part of the ASHA Convention room block.
    Mentioning this helps hotel staff locate your reservation and may enable additional flexibility on a case-by-case basis. 
  1. Hotels may reduce or waive penalties at their discretion.
    While ASHA cannot intervene, our partner hotels understand that attendees may face unpredictable travel challenges and have indicated willingness to assist when notified promptly. 

Hotel cancellations should be made no later than 72 hours prior to your arrival date. Cancellation within 3 days, or failure to check in on your scheduled day of arrival will result in a one-night's room and tax penalty charged by the hotel to the credit card used for guarantee.
