Function Space Request

We are planning the 2021 ASHA Convention as a hybrid in-person/virtual event. ASHA typically holds extra function space during the in-person event to support affiliate organizations wishing to host related meetings or receptions. We are pleased to be able to extend this courtesy again this year, however, modifications related to COVID-19 may necessitate some changes to scheduling and space allocations. We will do our best to accommodate all requests as they are submitted, however, your flexibility is appreciated.

Locations, Rules, Menus and Pricing

Most space requests will be scheduled in either the Marriott Marquis Washington DC, the Renaissance Washington DC Downtown, or the Walter E. Washington Convention Center. Each building has different rules and regulations in place, as well different menus and pricing, which we can provide upon request. Assignments will be based upon what space is available for your requested date and time, so you may not request a particular venue.

Location Assignments and Next Steps

Notifications of your assigned location will be sent via email in late September, no later than October 1. Your notification will include the contact information to arrange for catering and audiovisual equipment if needed. Your contact information will also be provided to your assigned venue for billing purposes (if you choose to order catering or audiovisual equipment). Once you receive your assignment notification, you may begin working directly with the catering and audiovisual representatives listed to make arrangements for your meeting or event.

Virtual Meetings and Events

If you are planning to hold your affiliated meeting or event virtually, you will be responsible for making those arrangements on your own. Although we are not facilitating virtual meeting arrangements, we are happy to include some activities in our daily schedule/event listings, provided they are consistent with our policies outlined below. You may request inclusion of your meeting or activity in our schedule by completing a brief form.

The deadline to submit an in-person space request is August 31, 2021.

Guidelines and Policies

Please read these important guidelines before completing the in-person space request form:

  • Event organizers and participants should primarily be ASHA Convention attendees.
  • Activities scheduled during education sessions and the daily lunch break will be limited to groups of 25 people or fewer. We encourage you to consult the Schedule at a Glance and plan your events before and after educational programming, generally before 8:00 a.m. and after 6:00 p.m. from Thursday through Saturday.
  • Please complete one function space request form per date and/or non-contiguous time block. Do not submit multiple events or activities with multiple recurrences on a single form.
  • Open Houses will be held Friday, November 19, 8:30 p.m.–10:30 p.m. following the Awards Ceremony. Select the Open House option only if you wish to hold a reception in conjunction with Open House night. Open Houses are typically published events.
  • There is no fee for the use of the space only; however, you will be responsible for the cost of any food and beverage, audiovisual equipment, room set changes, or additional specifications requested and will be billed directly by the facility or vendor.
  • Space will be assigned on a first-come, first-served basis as it is available. We are usually able to schedule all space requests and types of events; however, this is an unusual year so please be prepared to be flexible. If we are unable to accommodate a request, we will help to facilitate alternate arrangements with one of our partner properties.
  • Educational events that compete against our own continuing education activities will not be published.
  • We cannot guarantee that late space requests will be published.
