ASHA's housing service closed on Wednesday, November 5, 2025. After that date, our housing provider transferred all reservations data to the hotels and you should have received your official hotel confirmation number from your hotel. Beginning on Monday, November 10, 2025, reservation changes and cancellations must be made directly with your hotel.

We know many attendees are following the recent FAA-related flight reduction measures and may be concerned about how these changes could impact their travel to the ASHA Convention in Washington, D.C. Since the situation is still evolving, we want to provide guidance, resources, and clarity regarding our policies.
The Convention is one week away, and it is not yet clear how—if at all—flight delays or reductions may affect travel to the D.C. area. Some current disruptions may be resolved in the coming days, and impacts may vary widely by airline, route, and individual traveler.
At this time, ASHA is following the registration cancellation policy as published and it remains the official guideline for all attendees.
Hotel policies are separate from ASHA’s registration cancellation policies.
Each ASHA partner hotel manages its own cancellation rules, fees, and flexibility options. ASHA does not control hotel policies and cannot waive hotel penalties, as these are determined solely by each property.
If your travel is impacted, notify your hotel as soon as possible. Hotels have limited ability to assist once a guest becomes a no-show. Their staff can provide the most accurate guidance on fees, timelines, and options based on their property-specific policies.
Mentioning this helps hotel staff locate your reservation and may enable additional flexibility on a case-by-case basis.
While ASHA cannot intervene, our partner hotels understand that attendees may face unpredictable travel challenges and have indicated willingness to assist when notified promptly.
Hotel cancellations should be made no later than 72 hours prior to your arrival date. Cancellation within 3 days, or failure to check in on your scheduled day of arrival will result in a one-night's room and tax penalty charged by the hotel to the credit card used for guarantee.
Once you have completed your reservation, you will receive a confirmation email from email_confirm@exl.eventshq.com. Be sure to check your junk or spam folder and add this address to your safe senders.
The confirmation email provides your Maritz Confirmation ID for referencing this reservation when making changes through ASHA's housing service. This is not your hotel confirmation number. You will receive an email directly from your hotel on or after November 7, 2025 with your official hotel confirmation number.
Sometimes, a hotel may not have availability for the entire length of your stay. For example, the hotel may have rooms available on the main nights of your stay (Thursday and Friday of the ASHA Convention), but might have limited availability at the beginning or end of your requested dates. In this instance, you will see the Waitlist icon appear, which will allow you to complete your reservation. Please allow up to one week for us to work with the hotels to fulfill waitlist requests before you book an alternate reservation.

Both Convention attendees and the association benefit when you book a hotel room through ASHA. Here's how:
Sometimes, ASHA is alerted that an unauthorized housing company is contacting our exhibitors or attendees to inform them that they can offer less expensive room rates at hotels in our block. You may also encounter fraudulent websites promoting housing reservations for ASHA. Maritz Global Events is the only official housing company for ASHA. They will not solicit you and you can only navigate to their hotel reservations website through our own website, convention.asha.org. If you receive a call or e-mail from any company that is not our official housing provider or find a suspicious website, please contact us immediately at convention@asha.org.

The 2025 ASHA Convention will be held at the Walter E. Washington Convention Center, 801 Allen Y. Lew Place NW, Washington, DC 20001. Some activities will also take place at the Marriott Marquis Washington, DC and the Westin DC Downtown.
To help minimize potential disruptions, we encourage attendees to use the tools provided by airlines and trusted federal resources.
Most major U.S. airlines are proactively adjusting schedules and offering enhanced self-service tools. Their apps provide the fastest access to gate changes, cancellation notices, and rebooking options—often without waiting for customer service. Many airlines also offer same-day rebooking or standby selection through their apps.
In response to the FAA’s measures, some airlines are offering flexible rebooking, refunds, or travel credits. Policies vary by carrier, so please refer directly to your airline’s website or customer service channels. Please note that this information is changing rapidly, so we encourage you to check with your airline frequently for the most up-to-date details./p>

Union Station in Washington, DC is serviced by Amtrak, Maryland Rail Commuter Service (MARC) and Virginia Railway Express (VRE).
The Washington Metro subway and bus public transportation system is a convenient and inexpensive way to get around in the D.C. area. The Convention Center is located at the Mount Vernon Square station on the Yellow and Green lines of the Metro.
For those arriving by car, paid parking is available in several lots and garages within blocks of the Walter E. Washington Convention Center. The Convention Center does not operate its own parking facility.
Taxis, as well as Lyft and Uber rideshare services, operate extensively throughout the D.C. metro area.
Complimentary shuttle service [PDF] will be provided November 20–22 for attendees staying at ASHA hotels not within close proximity of the convention center or a Metro stop. ADA-accessible shuttle service equipped with a wheelchair lift will be available for all ASHA hotels and any official ASHA event (i.e., ASHFoundation Fundraiser, ASHA PAC Reception, etc.) for attendees with mobility issues. Those who use scooters can typically take advantage of the regular shuttle service; shuttle staff will help stow scooters. ASHA does not provide airport ground transportation.
