Hotel Reservations

If you have any questions about hotel reservations for the ASHA Convention, or encounter any difficulties with the reservations system, please contact the ASHA Housing Center (Maritz) by email at ASHAHotel@maritz.com or by phone at 864-208-2571 (Monday–Friday, 9:00 a.m. – 5:00 p.m., Eastern Time).

Reservations Deadline

ASHA's hotel reservation service will close on Friday, October 30, 2026. After that date, our provider will begin transferring all reservations data to the hotels. You will receive an email directly from your hotel on or after November 2, 2026 with your official hotel confirmation number. Beginning on Wednesday, November 4, 2026, reservation changes or cancellations must be made directly with your hotel.

Unauthorized Housing Providers

Sometimes, ASHA is alerted that an unauthorized housing company is contacting our exhibitors or attendees to inform them that they can offer less expensive room rates at hotels in our block. You may also encounter fraudulent websites promoting hotel reservations for ASHA. Maritz Global Events is the only official housing company for ASHA. They will not solicit you and you can only navigate to their reservations website through our own website, convention.asha.org. If you receive a call or e-mail from any company that is not our official housing provider or find a suspicious website, please contact us immediately at convention@asha.org.

What to Know About Your Hotel Reservation

Please read through the information below so you are aware of the deadlines and policies for hotel reservations made through ASHA's housing service.

Add Your ASHA Account Number to Your Reservation

Although your ASHA account number is not required to make hotel reservations, we strongly encourage you to provide it to help us track housing information. If you do not have your ASHA account number on hand when you make your reservations, you can add it later by logging back into the reservations system.

Reservation Confirmations

Once you have completed your reservation, you will receive a confirmation email from email_confirm@exl.eventshq.com. Be sure to check your junk or spam folder and add this address to your safe senders.

The confirmation email provides your Maritz Confirmation ID for referencing this reservation when making changes through ASHA's housing service. This is not your hotel confirmation number. You will receive an email directly from your hotel on or after November 2, 2026 with your official hotel confirmation number.

Waitlisted Rooms

Sometimes, a hotel may not have availability for the entire length of your stay. For example, the hotel may have rooms available on the main nights of your stay (Thursday and Friday of the ASHA Convention), but might have limited availability at the beginning or end of your requested dates. In this instance, you will see the Waitlist icon appear, which will allow you to complete your reservation. Please allow up to one week for us to work with the hotels to fulfill waitlist requests before you book an alternate reservation.

Reservation Changes

After your reservation has been confirmed, you may modify or cancel your reservation by logging into the Housing Attendee Service Center via the link in your confirmation message, or email customer service at ASHAHotel@maritz.com. Reservation changes or cancellations should be made through Maritz through Friday, October 30, 2026. Beginning November 4, 2026, you should contact your hotel directly to make any changes or cancel your reservation.

Cancellation Policy

Hotel cancellations must be made no later than 72 hours prior to your arrival date. Cancellation within 3 days, or failure to check in on your scheduled day of arrival, will result in a one-night's room and tax penalty charged by the hotel to the credit card used for guarantee. In addition, please be sure to verify check out dates at check-in, as an early check-out may result in an early-departure fee.

Cancelling a hotel room does not automatically cancel your ASHA Convention registration, and cancelling your registration does not automatically cancel your hotel room. If you need to cancel, be sure to follow the cancellation process for both registration and hotel reservations individually.

A Roommate Matching forum to help you find a roommate has been set up on the ASHA Community site. The forum is member-led, so feel free to start a discussion with your dates of stay or join an already existing post! (Please note that the ASHA Community is restricted to ASHA members and NSSLHA members only.)

Getting There and Getting Around

The 2026 ASHA Convention will be held at the Indiana Convention Center, 100 South Capitol Avenue, Indianapolis, IN 46225. Some activities will also take place at nearby hotels:

By Plane

The Indianapolis area is served by the Indianapolis International Airport (IND). (Please note: ASHA does not provide airport ground transportation.)

Airline Discounts

The following travel discounts are available for the 2026 ASHA Convention. Discounts are valid for the destination only (Indianapolis International Airport– IND) and applicable from the dates listed below.

Getting To/From the Airport

Indianapolis International Airport’s Ground Transportation Center, located on the first floor of the Terminal Garage offers connection to bus service, car rental, taxi service, Uber & Lyft, BlueIndy, hotel courtesy vehicles and limousines. Curbside taxicab service is available just outside Baggage Claim.

Parking

For those arriving by car, downtown Indianapolis hosts more than 70,000 parking spaces. Paid parking is available in several lots and garages within blocks of the Convention Center.

Shuttles

Most the official ASHA hotels are within pedestrian-friendly distances from the Indiana Convention Center building. Limited shuttle service will be available to and from the convention center for a few of the hotels that are farthest away (less than .6 miles). The hotels with shuttle service are noted within the hotel reservations system. A more detailed shuttle schedule will be available in early November.

ADA-accessible shuttle service equipped with a wheelchair lift will be available for all ASHA hotels and any official ASHA event (i.e., ASHFoundation Fundraiser, ASHA PAC Reception, etc.) for attendees with mobility issues. Those who use scooters can typically take advantage of the regular shuttle service; shuttle staff will help stow scooters. Scooters and wheelchairs are available for rent from Scootaround.
